ABOUT THE POSITION

We are seeking a reliable, proactive, and extremely organized Executive Assistant to support our CEO, COO & other leaders as we quickly grow the business.  The ideal candidate thrives in a fast-paced environment, acts with limited guidance, has deep integrity, and the ability to keep the information confidential.

To excel in this role and contribute to the success of the organization, this individual must be able to partner effectively with a variety of internal and external stakeholders and have the ability to change direction quickly.  Meticulous attention to detail is critical, as is a positive outlook.

This is a great opportunity to join a growing business and learn a ton about marketing and strategy in the process. Candidates in Dallas preferred, but we are open to other locations for the right individual. The position will be remote for the foreseeable future.

 

RESPONSIBILITIES

  • Support the team by keeping track of ongoing requests, meetings, upcoming deliverables, and scheduling meetings

  • Develop a familiarity of employees, clients, and partners in order to manage and prioritize requests accordingly

  • Design, produce and/or proofread complex documents, reports, and presentations 

  • Assist with preparation of sales proposals, contracts & NDAs

  • Categorize expenses in Quickbooks, load contractor payment, and issue client invoices

  • Set new hires or contractors up in our systems, order laptops, add healthcare, run background checks and follow up with job applicants

  • Ensure that digital files are organized in the shared Google drive

  • Proactively create, document, and improve upon processes

  • Maintain confidentiality of highly sensitive information

  • Manage miscellaneous tasks, projects, requests, and events as they arise

  • Other special projects/duties as assigned for the overall benefit of the organization.


REQUIREMENTS

  • 4+ years of Executive Assistant or Executive Coordinator support, preferably to C-level executives

  • Positive and confident individual with deep integrity and a strong work ethic

  • Exceptional organizational skills that reflect an ability to perform and prioritize multiple competing tasks seamlessly with meticulous attention to detail

  • Excellent verbal and written communications skills

  • Proven ability to handle confidential information with discretion

  • Strong interpersonal skills and the ability to build relationships easily and with authenticity

  • Self-motivated and able to work efficiently, effectively, and independently; Curious and eager to learn

  • Creative, proactive thinker who actively looks for solutions and ways to implement and/or simplify processes

  • Familiarity with Gsuite (Gmail, Drive, Slides, Docs, Sheets and Meets/Hangouts) required; familiarity with Asana, Quickbooks, Gusto, Hellosign, and Wordpress is a strong plus

  • Experience working remotely and in a virtual environment

  • Experience supporting marketing, ecommerce, or consulting professionals strongly preferred

  • Bachelor's Degree preferred
